Attendance Control in HRMS System by Biometrics

Attendance Control in HRMS System by Biometrics

Many companies do not take into account the importance of a registration or control of personnel attendance, since the multiple consequences are not considered in case of not having the necessary data; With this type of systems, risks of fraud and loss of money due to non-work time can be avoided, in addition to allowing the evaluation and efficiency of the company's personnel.

On many occasions, the attendance record is kept by a visual method or by annotation in the handwriting of the employee or a security guard in a simple notebook, which is unreliable since the check-in events can be altered by someone, or it is impractical in companies with a high volume of employees, but thanks to the help of biometric technology, these activities will be carried out in a simple, fast and reliable way.

These biometric devices, together with a personnel attendance control program, help us by keeping a record of employee check-ins or events, so that we can obtain a report of absences, delays, permits, overtime, vacations and be able to count with all this information stored in a database and have it available at the time that the Human Resources department wishes to perform a correct calculation of the payroll by taking the data from their HRMS Systems.

Another very important and not so observed point is that attendance records provide proof of time worked and serve as a necessary means of legal proof in the case of a labor lawsuit; here are some legal situations that give us the foundation.

At the federal government level, there is a manual of procedures for the control, registration and application of personnel incidents, which mentions the control of the administration's attendance at the entrances and exits of personnel through a biometric registration system.

On the other hand, in the private sector there are some legal elements that support the control of staff attendance, here are some.

Federal Labor Law, article 423, sections I. The regulation will contain time of entry and exit of workers, time allocated for meals and periods of rest during the day.

Federal Labor Law, article 804, section III. Attendance controls, when carried in the workplace.

Hence the importance of having the attendance record in the administrative field, because do you know how much money the company is losing due to absences, delays and / or early departures of your company's personnel?

The solution to this problem is in the control of staff attendance through biometric time clocks (fingerprint, face or facial, proximity, hand punch) and it’s processing through a software or assistance program and analyze the incidents of the personnel, verifying what is likely to justify or sanction its application via payroll.

Now that we know the importance and what is the use of a staff attendance control system, we just have to choose the one that best suits our organization; either a HRMS software installed on an internal server or a platform accessible from a website that stores our information in the cloud, and to help you improve the efficiency and productivity of your company's employees and that is a benefit for the Humans Resources staff, we have several facial or fingerprint biometric equipment of various brands that have been accepted by end customers.
